# How many cleaning hours does a school need? A simple way to work it out

By the Long Lever team · 7 min read · Last checked 7 November 2026

The short answer

Measure the floor area of each type of room, decide how often each needs cleaning, and divide by a realistic rate of how much one cleaner can clean in an hour. Add toilets by the number of fittings, add time for setting up, travel between areas and supervision, then multiply by the number of cleaning weeks. Price periodic deep cleans separately.

## Why work out the hours yourself?

Hours are the biggest single driver of what cleaning costs and how clean the school is. If you do not know roughly how many hours your building needs, you cannot tell whether a bid is generous, realistic or impossible. Contractors work this out for every tender. It helps a great deal if the school has done the same sum.

## How do you calculate cleaning hours?

1. **List every area by type**: classrooms, corridors, halls, offices, toilets, changing rooms, specialist rooms. Use floor plans and measure, or take areas from your estates records.
2. **Set a frequency for each**: daily, three times a week, weekly. Not everything needs cleaning every day.
3. **Choose a cleaning rate for each type**: how many square metres one person can clean to your standard in an hour. Open, uncluttered spaces are quicker than full classrooms.
4. **Count toilets by fitting**, not floor area. A block of six toilets and six basins takes far longer than its size suggests.
5. **Divide area by rate** to get daily hours, then add **allowances** for setting up, emptying bins, moving between areas and supervision.
6. **Multiply by the number of cleaning days and weeks** in the contract, term time and holidays separately.

## A worked example

Here is the method applied to a fictitious primary school. The rates are **for illustration only**. Real rates depend on your building, furniture, floor finishes and the standard you specify, so test them against what you see on site.

| Area | Size | Illustrative rate | Hours per day |
| --- | --- | --- | --- |
| Classrooms | 1,800 m² | 250 m² per hour | 7.2 |
| Corridors and entrances | 500 m² | 400 m² per hour | 1.25 |
| Hall | 300 m² | 350 m² per hour | 0.9 |
| Offices and staff room | 300 m² | 200 m² per hour | 1.5 |
| Toilets | 24 fittings | 3 minutes each | 1.2 |
| Allowances (about 10%) | | | 1.2 |
| **Total** | | | **about 13.3** |

That is roughly 66 hours a week in term time. Over 39 term-time weeks it comes to about 2,600 hours a year, before any holiday cleaning or periodic work. Split across evening shifts of three hours, that is four to five cleaners each day.

From idea to a working process

> “Every time we tender, the cleaning hours are a guess. I want to know what our buildings really need, so I can tell a realistic bid from an impossible one.”

School business manager, Long Lever Academy (a fictitious example)

Contractors work out hours for every bid. Most schools never do the same sum, so they can't tell whether a proposal is generous, realistic or unworkable until problems start.

Other processes school business managers ask us to streamline

Not everything needs a screen. Some are automations that run in the background, some are AI agents that read and draft, and some are a simple screen for the team.

- Automation Periodic cleaning planner Plans deep cleans, carpet cleans and window cleaning around the holidays, and shows what is done and what is overdue. No more forgotten summer deep clean
- AI agent Cleaning specification builder Pick each area and how it is used, and it writes the frequencies and standards into a consistent specification. A tender-ready specification in an afternoon
- Automation Room-by-room cleaning schedule Turns the specification into a daily schedule for each cleaner, with lettings and events added in. Cover for absences planned in minutes
- Simple screen Quality check on a phone Walk the building, score each room, add a photo of any issue and send it straight to the supervisor. Audits done and shared on the spot
- Automation Building usage tracker Records which rooms are used when, including lettings, so cleaning follows real use rather than the timetable from five years ago. Hours moved to where they are needed
- AI agent Contract cost checker Compares monthly invoices with the hours and rates in the contract and flags any difference. Overcharges spotted before they are paid

## What changes the number of hours?

- **How the building is used**: lettings, breakfast and after-school clubs, and community use all add wear and hours.
- **Clutter and furniture**: busy primary classrooms take longer than a sparse secondary teaching room.
- **Floor finishes**: carpets, hard floors and sports surfaces all clean at different rates.
- **The age of pupils and specific needs**, which can change what daily cleaning involves.
- **The standard you specify**: a high-visibility reception and toilets cleaned twice a day will add time.
- **Supervision**: a working supervisor is part of the hours; a non-cleaning manager is usually an extra cost.

## What about periodic cleaning?

Periodic cleaning is the deeper work done less often, usually in the holidays: machine scrubbing and polishing hard floors, carpet cleaning, high-level dusting, window and kitchen deep cleans. Work it out as a separate programme with its own hours or prices, so it cannot quietly disappear from a bid that looks cheaper.

## How do you use the figure in a tender?

Do not publish your own estimate as a requirement. Ask every bidder to state their hours by area in the pricing schedule. Then compare their hours with yours. A bid well below your estimate needs a good explanation, such as better equipment or a different shift pattern. Then check that the price can pay the wage for those hours using our Living Wage check (https://longleverpartnerships.co.uk/insights/is-a-cleaning-bid-too-cheap).

## What this won't do

The rates in the worked example are illustrative, not industry standards. Actual rates vary widely with the building, equipment, furniture, floor finishes and the standard required. Use the method with your own measurements, and sense-check the result against what you see on site and what experienced contractors propose.

## Questions people also ask

How many cleaning hours does a primary school need per week?+

It depends on the floor area, room types, how often each area is cleaned and how the building is used. Work it out from areas and realistic cleaning rates; in our illustrative 3,000 m² example it came to roughly 66 hours a week in term time.

How many cleaners does a school need?+

Work out the daily cleaning hours first, then divide by the length of each shift. For example, about 13 hours a day split into three-hour evening shifts means four to five cleaners.

How do you calculate cleaning hours per square metre?+

Divide the floor area of each type of room by the number of square metres one cleaner can clean to your standard in an hour, multiply by how often it is cleaned, then add toilets by fitting and allowances for setting up, travel and supervision.

Is periodic cleaning included in the daily hours?+

No. Periodic and holiday deep cleaning should be worked out and priced separately, so bids can be compared fairly and the work is not left out.
