Drafting approach
Answers that exist are not rewritten
The problem
Past bids, policies and company information were scattered across shared drives and people’s inboxes. Every bid started almost from scratch, and the quality depended on who happened to be free.
Good answers existed, but nobody could find them under time pressure, so they were rewritten badly or left out entirely.
What we did
We brought the past bids, policy documents and company facts into one searchable place, with clear ownership of what is current, then built a drafting routine on top of it.
Each document has a named owner and a review date. When a question comes up, the answer starts from the best version already written, rather than a blank page.
What was put in place
- Past bids indexed by the question they answered
- One owner and one review date per document
- Standing facts (insurance, accreditations, references) kept current in one place
- A drafting routine that starts from the best existing answer
The result
Bids drafted faster and more consistently, with answers that already exist being reused rather than rewritten.
The measure that mattered was not speed alone, but consistency: the same question now gets the same answer, whoever is writing the bid.
