01

The problem

Site audits, staff records, issues and client reporting all lived in different places. The monthly client reports were thorough, but pulling them together from spreadsheets and photographs took days.

Worse than the time it took, the numbers rarely matched. A site could look fine in the audit trail and poor in the client report, depending on who assembled it and when.

02

What we did

We mapped what the client actually wanted evidenced, then agreed one definition for each measure before building anything.

Audit, staffing and issue records were joined read-only, so nothing could be changed in the source systems. The client report, the internal review and the renewal conversation were all produced from that single set of figures.

What was put in place

  • Agreed what the client wanted evidenced, not what was easy to report
  • One agreed definition per measure, written down
  • Read-only connections to existing systems
  • Same figures used for internal reviews and renewals
03

The result

Monthly client reports produced in minutes rather than days, with the same numbers available for internal reviews and renewals.

Because the source was agreed first, the report became the easy part. It also made conversations about performance shorter, since both sides were reading the same page.
